Project Management Specialist – Entry Level (Part-Time)
We are seeking an Entry Level Project Management Specialist (Part-Time) to join Hyper Real Academy LLC. In this role, you will apply specialized project management methodologies, stakeholder coordination skills, and process optimization techniques to help plan, execute, and deliver key cross-functional initiatives that support our permanent makeup (PMU) education programs, client service operations, RealTint® technology projects, digital learning infrastructure, and multi-state licensing compliance.
This is a part-time position, and the successful candidate will play a meaningful role in improving our operational efficiency, strengthening program delivery quality, and supporting our continued expansion across multiple locations and online platforms.
THE COMPANY
Hyper Real Academy LLC (“Hyper Real Academy,” “we,” or “our company”), founded in 2019, is a leading provider of permanent makeup (PMU) education and services dedicated to delivering world-class cosmetic and medical tattooing procedures while training the next generation of elite PMU professionals through cutting-edge technology and certified instruction.
Unlike traditional salons or training centers, Hyper Real Academy integrates innovation, artistry, and professional development under one roof. We provide both high-end PMU procedures and structured PMU training programs certified by the American Academy of Micropigmentation (AAM). We serve clients and students across New Jersey and the tri-state area through our locations in East Brunswick, Springfield, and Lyndhurst.
Our business operations include:
Cosmetic and Medical PMU Services: Nano Brows, Powder Brows, Lip Blush, Permanent Eyeliner, Scalp Micropigmentation (SMP), 3D Areola Restoration, Tattoo Correction, Scar Camouflage, and related procedures delivered by AAM-certified artists trained in our proprietary RealTint® technology.
PMU Training and Certification: As an AAM Platinum Certified institution and official brand partner, we offer foundational and advanced training programs, including our signature 100-Hour Fundamentals Course (Eyebrows, Lip Blush, Eyeliner), hands-on training with live models, mentorship, and post-course lifetime support.
Specialized Courses and Apprenticeships: Advanced workshops (e.g., color correction, deep skin tone techniques, corrective tattooing) and a New Jersey licensing pathway apprenticeship program.
Online Education and Remote Coaching: Online certification programs and video-based learning resources to support students nationwide and internationally.
Graduate Support & Community: Lifetime access to education content, ongoing mentorship, professional network access, and RealTint® machine trade-in/upgrade programs.
As we grow, we must execute multiple strategic and operational projects to maintain quality, innovation, compliance, and scalable delivery across campuses and online platforms. These initiatives require professional project management expertise to ensure timelines, resources, budgets, vendors, and stakeholders remain aligned to business goals.
THE POSITION
The Project Management Specialist is responsible for supporting management in planning, coordinating, and monitoring multiple projects across our education, operations, technology, compliance, marketing, and service delivery functions.
Through this role, Hyper Real Academy can improve operational productivity, reduce inefficiencies, enhance student/client experience, maintain consistent cross-campus execution, and ensure timely delivery of program and technology improvements in a rapidly evolving industry.
Key Responsibilities:
- Identifying and organizing requirements and objectives of stakeholders into a project plan:
- Collaborating with instructional staff, executive management, technology vendors, and licensing bodies to gather detailed project requirements for training program development and service optimization;
- Organizing and prioritizing operational initiatives, such as curriculum expansion, RealTint® equipment upgrades, digital content production, and compliance updates, into structured project roadmaps; and
- Ensuring each project aligns with Hyper Real Academy’s strategic goals in education quality, licensing compliance, and market expansion across multiple locations.
- Building strong relationships with cross-functional and multi-disciplinary stakeholders:
- Establishing and maintaining effective coordination with educators, AAM consultants, marketing teams, IT developers, and client service staff;
- Defining cross-functional responsibilities across course delivery, online platform enhancement, and RealTint® product refinement; and
- Leading regular team meetings to track project execution, communicate dependencies, and ensure cohesive cross-departmental collaboration.
- Evaluating and identifying the technical details underlying product and service development:
- Analyzing specifications and performance feedback of RealTint® PMU machines, needles, and pigments for next-generation enhancements;
- Coordinating with design and training leads to ensure new technical features, such as machine ergonomics or pigment consistency, are viable and aligned with regulatory requirements; and
- Translating client feedback and instructor input into actionable plans for product and service improvement.
- Effectively communicating project status and updates to external and internal stakeholders:
- Providing regular status updates on curriculum revision timelines, new training module rollouts, licensing regulation changes, and digital learning platform developments;
- Preparing and presenting reports, Gantt charts, and milestone dashboards for senior management, instructors, and industry partners;
- Facilitating open communication between internal teams and external partners, including AAM and certification boards.
- Monitoring project risks and scope creep:
- Identifying potential challenges such as accreditation delays, regulatory revisions, technical development lags, or student enrollment shortfalls;
- Creating contingency plans to mitigate risks related to training delivery, RealTint® supply chain management, and cross-campus operational consistency; and
- Escalating risks involving budget, licensing, or service disruption to management with proposed corrective actions.
- Reviewing and ensuring utilization of project delivery methodologies and tools:
- Applying best practices in educational project management, using methodologies such as milestone tracking for curriculum rollouts and agile approaches for digital content updates;
- Leveraging collaborative platforms and task management tools to monitor instructional material production, vendor deliveries, and compliance deadlines; and
- Establishing documentation protocols for version control, regulatory reporting, and progress tracking.
- Developing and implementing an efficient process for monitoring tactical aspects of product development and service deployment:
- Overseeing project timelines for RealTint® machine innovation, training facility setup, course testing, and online course activation;
- Coordinating with instructors, technical support, marketing, and operations to ensure each training and service milestone is achieved on schedule; and
- Maintaining comprehensive documentation of product iterations, instructor feedback, pilot class reports, and student satisfaction surveys.
- Participating in developing and maintaining project expenses and budgets:
- Assisting in drafting cost estimates for RealTint® machine production, curriculum development, course delivery (in-person and online), and event coordination;
- Tracking project expenses related to instructional resources, software tools, and educational licenses against allocated budgets; and
- Proposing budget adjustments to maintain financial efficiency while achieving program goals.
- Negotiating with and determining external professionals and partners for project development:
- Identifying and managing relationships with external vendors such as equipment manufacturers, pigment suppliers, e-learning developers, and certification consultants;
- Negotiating service terms, delivery schedules, and integration plans for new training tools and instructional equipment; and
- Coordinating external collaborations for licensing compliance, professional events, and continuing education support.
Qualifications
Education Requirement:
Must have at least a Bachelor’s degree in Project Management or a related field.
Experience:
Entry level / Level I role. Prior experience is not strictly required; training will be provided.
Work Authorization:
Must have work authorization in the United States. If needed, we may sponsor H-1B applications consistent with applicable regulations.
